1. General Privacy Policy

This General Privacy Policy ("General Privacy Policy" or "Privacy Policy") applies to the business operations of Liana Technologies ("Liana"), which include companies operating in several countries. The circumstances concerning the processing of personal data determine which company decides on the processing of your personal data. Decisions concerning your personal data (i.e., acting as the Data Controller) are made by the Liana Technologies company with whom you interact in that specific situation, for example, the company with whom you or the company you represent has a contractual relationship, or the company whose website you visit. At the end of this Privacy Policy, you will find detailed information about the data controllers covered by it, as well as contact addresses for privacy-related inquiries.

This Privacy Policy describes how Liana collects and processes your personal data, to whom the data is disclosed, how long it is stored, and what your rights are regarding your personal data. Personal data means information that can be directly or indirectly linked to you.

As Liana processes personal data in various situations and related to multiple stakeholders, additional policies have been drafted to supplement this General Privacy Policy. These include:

1.1 Collection of Personal Data

Liana collects personal data in several ways. You may provide information yourself when you contact us, or information may accumulate when you use Liana's Services. Liana may also derive information about you based on personal data we already possess. Your personal data may also be obtained from other companies within Liana's business operations, from companies belonging to Ilkka Group or from external third parties, such as public sources. Liana may combine personal data about you obtained from public sources, such as social media and the trade register, or from various interactions, such as during the provision of Services or marketing communications. In addition, Liana may collect and combine data based on data updates from Profinder and through cookies and similar technologies.

You are not obliged to provide Liana with your personal data, but refusal may have various consequences depending on the situation. In some situations, for example, Liana may not be able to offer Services or act according to your request.

1.2 Categories of Personal Data

Liana processes different types of personal data depending on the situation. The type and extent of personal data are always limited to the information necessary for the purpose of the processing. The categories of personal data processed in each situation are described in more detail in the relevant supplementary policy.

Liana may also process personal data for statistical purposes, in which case the data is aggregated so that it is not possible to identify a natural person from the outcome. The resulting statistics are not personal data because they cannot be linked to an individual person.

As a general rule, Liana does not process special categories of personal data, such as health data. However, in limited cases, such data may be processed in accordance with applicable legislation, provided that you have been informed of the processing.

1.3 Purpose and Legal Basis for Processing Personal Data

Liana collects, processes, and uses only personal data that is necessary for our business operations, efficient customer service, and relevant commercial activities, including the processing of personal data for anonymization. Liana processes personal data only for legitimate and precisely defined purposes, and does not process data in a way that is incompatible with these purposes. There is always a lawful basis for the processing of personal data. Liana generally processes personal data for the purpose of entering into a contract with you or the company you represent, or for the performance of a contract. The purpose of processing in each situation is described in more detail in the relevant supplementary policy.

Liana may also process personal data to fulfill legal obligations, for example, related to accounting or to comply with requests from authorities (e.g., tax authorities) as required by law. You may also have given your consent to the processing of your personal data for one or more specified purposes. This is typical in various activities that promote our operations or Services, such as marketing or social media campaigns. You will always be informed of the purpose of the processing and its details before your consent is requested.

Personal data may also be processed to fulfill the legitimate interests of Liana or a third party, if your fundamental rights do not conflict with such an interest. For example, Liana combines personal data collected from various sources and processes personal data to provide and develop Services, to develop our operations, to prevent misuse, or to prepare internal reports for business management. In such cases, the processing of personal data is based on Liana's legitimate interest in ensuring the efficiency of our operations and the competitiveness of the Services offered, as well as obtaining the necessary information to understand our customers and manage our business.

Liana does not process personal data for automated decision-making that could have legal or similar significant effects on you.

1.4 Data Sharing and Disclosure of Personal Data

Liana may disclose or transfer personal data to other companies within Liana's business operations within the framework of applicable legislation, as well as to Ilkka Group companies using an intra-group personal data processing agreement for the purposes described in this Privacy Policy. Personal data may also be transferred between companies for internal administrative purposes, such as part of company operational reporting or to utilize centralized solutions, such as our information and communication systems. The sharing of personal data is based on Liana's legitimate interest to conduct and develop business and to manage our customer relationships effectively.

As a general rule, Liana does not disclose the personal data of data subjects to external parties. Liana may disclose personal data to third parties in the following cases:

  • To the extent required or permitted by law, for example, when required by a competent authority or to protect our rights, such as responding to legal claims, or investigating misuse, and ensuring your and others' safety.
  • When our service provider processes personal data on Liana's behalf and according to our instructions, or when Liana processes personal data with our partner for jointly defined purposes in accordance with this Privacy Policy. Liana determines such processing of your personal data, and we are responsible for it.
  • When Liana is organizing an event with a third party and there is a legitimate interest in disclosing the data.
  • When Liana procures services from our partners as part of internal processes (e.g., in the recruitment process), to conduct or support our business (e.g., social media campaigns), or to provide you with Services. In these cases, Liana's partner is responsible for the lawfulness of the personal data processing.
  • When Liana is involved in a merger, corporate restructuring, or the sale of a business or part of it.
  • Liana's partners may occasionally use personal data they process in connection with providing the Service independently for their own purposes, such as service development, statistics, or fulfilling their legal obligations. Liana aims to ensure that this further processing does not conflict with the original purpose of the personal data. In these cases, our partner is responsible for the lawfulness of the data processing.

1.5 Transfer of Personal Data Outside EU or EEA Areas

Personal data processed by Liana is primarily located in the EU or the European Economic Area. However, Liana may transfer personal data outside the aforementioned areas when our service provider or partner processing personal data operates fully or partly (e.g., for technical maintenance tasks) in a third country. Personal data may also be transferred to third countries in situations where mandatory non-EU legislation binding the partner so requires.

In these cases, Liana ensures the necessary safeguards and implements additional measures to the extent required to protect personal data as required by applicable legislation.

This means:

  • Personal data is transferred only to countries that the European Commission has deemed to provide an adequate level of data protection by its decision. More information: Adequacy decisions | European Commission
  • When a service provider operates in a country not covered by an "adequacy decision" or to which the aforementioned decision does not otherwise apply, separate contractual clauses approved by the European Commission are used, and technical, organizational, or contractual additional measures are implemented to the extent necessary to ensure the protection of personal data similarly to within the EEA.   • In some limited situations, e.g., when you voluntarily participate in Liana's marketing or social media campaign, the transfer of personal data may be based on explicit consent. In that case, you will be informed in advance of the transfer and the related risks.

1.6 Retention of Personal Data

Liana retains personal data only for as long as necessary to fulfill the purpose of processing, including fulfilling legal, accounting, or reporting requirements as described in this Privacy Policy. Liana has defined retention periods for the types of personal data processed.

Personal data processed based on a contractual relationship with you or the company you represent is generally retained for the duration of the contractual relationship or the time required to provide the Services. When the customer relationship or Service provision ends, personal data in the Service is retained for nine months. If personal data is processed to fulfill statutory obligations, it is retained in accordance with legal requirements, for example, the obligation to retain personal data is stipulated in accounting legislation.

Job applicants' personal data is retained for nine months after the recruitment process ends.

Personal data processed based on Liana's legitimate interest is processed as long as there is a basis for its processing. If you object to such processing, your data will be deleted after the validity of your request has been confirmed. An example of such processing is direct marketing.

The retention period for personal data processed based on consent is determined by the purpose of processing. If you withdraw your consent for marketing communications, Liana will retain your one-way encrypted email address to ensure that we no longer send you marketing communications.

1.7 Your Rights

Your rights and options regarding personal data depend on the specific situation and the purpose of processing.

Right of Access – You have the right to inspect personal data stored about you.

Right to Rectification – You have the right to have inaccurate data corrected and, in some cases, to have incomplete personal data supplemented.

Right to Object to Processing – You have the right to object to the processing of your personal data when it is based on Liana's or a third party's legitimate interest, if your personal situation overrides such a legitimate interest. Liana may reject the request if processing is necessary for the fulfillment of mandatory and legal rights. You can at any time object to the processing of your personal data for direct marketing purposes and related profiling.

Right to Data Portability – You have the right to receive personal data that you have provided to Liana for processing based on consent or the performance of a contract. In such a case, Liana will provide the data to you or a third party chosen by you in a commonly used and machine-readable format.

Right to Erasure ("Right to be Forgotten") – You can ask Liana to delete your personal data if there is no valid reason for continuing its processing, for example, if you feel the processing of your personal data is unnecessary for the purposes described in this Privacy Policy or a supplementary policy, or you wish to withdraw your consent.

Right to Restriction of Processing – You have the right to request Liana to restrict the processing of your personal data in certain circumstances, for example, for the duration of verifying the accuracy of personal data.

Right to Give and Withdraw Consent – If the processing of personal data is based on your consent, you have the right to withdraw your consent at any time.

Liana may need to ask you for certain information to confirm your identity and ensure you are entitled to exercise these rights. You can exercise your rights by submitting the aforementioned request to the customer service contact address mentioned at the end of this Privacy Policy.

1.8 Data Security

At Liana, data security and data protection are top priorities. Our protection measures are a continuously updated collection of operating practices, technologies, and tools adapted to legislation, regulations, and up-to-date threat intelligence. We actively educate and share information with our staff. Other general principles include the principle of least privilege, physically separated backups, comprehensive logging and metrics, firewalls, and static security tests in development pipelines. 1.9 Changes to the Privacy Policy

This Privacy Policy is valid from August 30th, 2025, until further notice. Liana reserves the right to update this Privacy Policy. The updated version will take effect on the publication date and will be available on Liana's website.

This Privacy Policy for Website Users ("Privacy Policy for Website Users" or "Website Privacy Policy") applies to Liana Technologies' ("Liana") business operations, where companies collect and process your personal data and use cookies when you use Liana Website or interact with Liana through the Liana Website, for example, by downloading materials, subscribing to a newsletter, participating in a marketing campaign, or providing feedback.

2.3.1 Customer Relationship Management

The primary purpose of personal data processing is the management of the customer relationship between Liana and you or the company you represent, including managing and responding to your contacts, requesting feedback, or other communication with you. In these cases, the data processing is based on a contract between Liana and you or the company you represent, or on our legitimate interest to serve you based on your choices and provide the Service.

2.3.2 Marketing and Analytics

Liana may use personal data to market and inform you about our Services or the services of the Ilkka Group. Liana may combine information about you that we have obtained from public sources and various interactions. Liana may also use personal data for marketing research and customer surveys. The processing of personal data is based on our legitimate interest to collect and analyze relevant information to better understand our customers and develop relevant Services.

Based on your consent, Liana may store and use your device information, including personal data, to create personalized advertising profiles and deliver relevant content on the Website (e.g., information and advertisements about the Services we offer) and to measure the effectiveness of advertising. 3. Privacy Policy for Customers and Stakeholders

This Privacy Policy for Customers and Stakeholders ("Privacy Policy for Customers and Stakeholders" or "Customer Privacy Policy") applies to Liana Technologies' ("Liana") business operations, where companies collect and process personal data in the following contexts:

  • Marketing and sales of Liana's Services and Ilkka Group's services;
  • Customer agreements and customer management;
  • Provision and use of Services;
  • Procurement of Services, supplier agreements, and supplier management;
  • Cooperation projects and stakeholder management;
  • Potential customers and their management; and
  • Events organized by Liana and their management.

3.1 Collection of Personal Data

Liana may collect personal data in several ways. Primarily, we collect and process personal data that:

  • you have provided to Liana when you communicate or interact with us, for example, by entering into a contract, when you purchase our Services, offer Services to Liana, visit our offices, or participate in our marketing or social media campaign or other online event;

3.2 Categories of Personal Data

Liana collects and processes personal data belonging to the following categories:

  • Basic information, such as name, title, and relationship to the company you represent, as well as contact information (email address, postal address, and phone number) and language of communication.
  • Information related to the business relationship, such as Service and order information, contract information, delivery information, payment information, billing information, or visit-related information, e.g. surveillance camera recordings or vehicle registration number.
  • Customer due diligence information required by law, such as identification information, information on the right to represent the company, basic information of the customer, their representative, responsible person, and beneficial owner (including personal identity code).
  • Marketing information, such as preferences and marketing permissions or prohibitions.
  • Your communication and various interaction situations with us, as well as related information and materials, such as email communication, service requests, call recordings, your contribution to various campaigns (video, audio, and other material, e.g. social media content) and events we organize, and information on the exercise of individual rights.
  • Service information, such as usernames and other identification information, and personal data generated during the provision of Services, e.g. usage and login information.
  • Project information, such as resourcing, assignments, and time entries.
  • Other case-by-case defined information based on your given consent.

Information from which individual natural persons cannot be identified may be collected and used for any purpose. Such information includes statistical or demographic data collected, for example, during the provision of Services.

3.3 Purpose and Legal Basis for Processing Personal Data

Liana collects and processes only personal data that is necessary for conducting our business, establishing and managing customer relationships, or for other relevant operational or commercial purposes, including the processing of personal data for anonymization.

Your personal data is processed for the following purposes:

3.3.1 Sales and Customer Relationship Management

Liana processes your personal data for the sales of Services and the management of the customer relationship between Liana and the company you represent. This activity includes, among other things, customer onboarding, customer service, invoicing, and contractual matters. In these cases, the processing of personal data is based on the contract between the company you represent and Liana, or on Liana's legitimate interest to manage our customer relationship and serve you based on your choices.

3.3.2 Service Procurement, Cooperation Projects, and Business Relationship Management

Liana may process your personal data in connection with service procurement and cooperation projects to manage the business relationship and related interactions between Liana and the company you represent. This activity includes, among other things, invoicing, reporting, and contract management. In these cases, the processing of personal data is based on the contract between the company you represent and Liana, or on Liana's legitimate interest to procure the Services necessary for conducting our business and to cooperate with our selected partners and manage related business relationships.

3.3.3 Provision of Services

Liana may process your personal data in connection with the provision of Services to offer and deliver Services to you or the company you represent, and to manage projects and operational activities. This activity includes, among other things, access rights management, customer service and support, service requests, error correction, invoicing, and reporting. In these cases, the processing of personal data is based on the contract between us and the company you represent, or on our legitimate interest to organize the provision of our Services, projects, deliveries, and operational activities appropriately.

3.3.4 Communication, Marketing, and Related Analytics

Liana may process personal data for marketing purposes and to inform you about Services offered by companies within Liana's business operations or about Liana as a company, as well as Ilkka Group companies and their services. Such processing may also relate to the production of material or content for marketing or social media campaigns. Your personal data may also be used for market research and customer surveys. In addition, your personal data may be used for analytics to enable Liana to develop and improve the customer or user experience, its own operations, or the operations of partners. Liana may combine information about you obtained from public sources and various interactions. The processing of personal data is based on the contract between us and the company you represent, Liana's legitimate interest in obtaining relevant information to better understand our stakeholders, such as our customers, and to market our Services and develop our operations.

You can at any time prohibit the processing of your personal data for direct marketing (see "Your Rights" section of the General Privacy Policy).

3.3.5 Service Development, Data Security, and Reporting

Liana processes personal data to ensure the quality and data security of the Services. Liana may also process personal data for the analysis and development of Service operations, such as developing new product features, automating functions, training artificial intelligence, or streamlining processes, as well as for statistical purposes, e.g., for business management. In these cases, the processing is based on Liana's legitimate interest to ensure an adequate level of data security for the Services and to provide Services efficiently utilizing available technologies, and to ensure the competitiveness of the Services and operations.

3.3.6 Enforcement of Rights and Compliance with Laws

Liana may also process your personal data for investigating misuse, protecting, defending, or enforcing our rights in administrative proceedings or in dispute situations, for example, to demonstrate compliance with contractual obligations or to respond to legal claims. In these situations, the processing is based on Liana's legitimate interest to be able to demonstrate the compliance of our operations and to adequately protect our rights. Liana may also process your personal data to fulfill our other legal obligations, such as responding to requests from authorities (e.g. tax authorities).

Liana may also process personal data for other, one or more specific, purposes, if you have given your consent to such processing.

3.4 Marketing Communications

Liana sends marketing messages by email, which may contain technology (web beacons, cookies, etc.) that allows us to know what you do with the message (open or read the message) and what links you may click. When you follow a link in a marketing message we send, Liana uses a cookie to record what pages you view and what content you download from the Liana Website.

You can control the processing of your personal data for marketing purposes. You can ask Liana to stop sending marketing messages by clicking the unsubscribe link found in all messages. If you withdraw your consent for marketing communications, Liana will retain your one-way encrypted email address to ensure that we no longer send you marketing communications.

Please note that even if you request to stop direct marketing, Liana may in some cases contact you for other reasons related to the processing of your personal data, such as related to the delivery of Services or price changes.

3.5 Changes to the Stakeholder Policy

This Customer Privacy Policy is valid from August 6, 2025, until further notice. Liana reserves the right to update the Customer Privacy Policy. The updated version will take effect on the publication date and will be available on Liana's website.

4. Privacy Policy for Job Applicants

This Privacy Policy for Job Applicants ("Privacy Policy for Job Applicants" or "Job Applicant Privacy Policy") applies to Liana Technologies' ("Liana") business operations, where companies collect and process personal data in connection with job applications and recruitment.

4.1 Collection of Personal Data

Liana may collect personal data in several ways. Primarily, we collect and process personal data that:

  • you have provided to Liana during the recruitment process, e.g., in a resume, application form, or interview;
  • is generated during the recruitment process, e.g., in aptitude or personality tests; and
